Owner Onboarding
If you are considering or have chosen RPM Phoenix Valley to manage your long-term, unfurnished metro Phoenix investment property, we want you to feel comfortable and confident with our onboarding process.
The below steps are key for successful onboarding with us:
1. Management document information
Provide the following information so that the management agreement can be generated and sent electronically for review and execution:
- Property addresses for each property that you are bringing under management
- Names, phone numbers, email addresses for title holders
- If multiple title holders, then specify main contact
- Selection of management package (Standard or Platinum)

Would you like our optional marketing selection of MLS?
- This allows all licensed non-RPM Phoenix Valley Real Estate Brokerages/Agents the opportunity to have their clients view your home (beneficial for tenants who are for example relocating from another state who hire a local agent to preview properties for them here).

Are you open to renting to pets?
- We are happy to list either way however it does greatly increase your marketing time if you do not elect to allow pets as it greatly reduces your application pool. We do take a pet deposit but do not charge pet rent. Additionally, we do require proof that the pets are spayed/neutered so that breeding/spraying isn’t happening in the property.

Do you have an active security system?
- If so we will need the passcode information and we do recommend disconnecting services at tenant move in.

Would you like for rent signage?
- We do not charge extra for signage; some of our clients like the signage because it lets drive by traffic and neighbors know the home is available for rent but some of our clients pass because they are concerned it may attract crime (advertising that the home is vacant).

Are you including the optional washer/dryer &/or fridge?
- Per AZ Tenant Landlord Act, homeowners are responsible for the repair or replacement of all applicants provided in the home. Including appliances will not increase your monthly rent received however it will help with the time it takes to place a qualified tenant.
- Which title holder would you like the rent disbursement and 1099 name in?

Do you have a home warranty?
- Not required or suggested.
- Mail box number if applicable and/or available
2. Additional items needed
- Email a copy of your insurance declaration page with non-owner occupied or vacancy coverage to support@rpmphoenixvalley.com
- Current tenant’s signed lease agreement and all executed addendums (if applicable)
- Tenant’s signed move in inspection (if applicable)
- All tenant contact information (if applicable)
- Tenant’s security deposit or RPM owner acknowledgement of keeping tenant’s security deposit form
- RPM signed transfer of management letter
- Blank new tenant registration form from Homeowners Association if applicable
- Emailed copy of HOA CC&R’s if applicable
- Confirmation number from the city of Phoenix that the executed management agreement has been provided. This is needed so that when a tenant is placed, they are able to obtain a city of Phoenix water account in their name
- If home is vacant, confirmation that power and water are on in the title holder’s name
3. Keys
- Total needed: 3 keys to each house lock, 1 mail box key if available, 1 garage remote, 3 keys to any padlocks, 1 key to any community pool/gym/center (if applicable), 2 gate remotes/pedestrian gates (if applicable)

Select option for getting keys to RPM Phoenix Valley
- Mail to RPM Phoenix Valley, 20827 N Cave Creek Road, Suite 101, Phoenix, AZ 85024. Be sure to tape keys to a piece of paper before mailing so they don’t break through the envelope
- RPM can hang a lock box at the property so that one house key can be left inside and the remaining keys can be left on top of the kitchen counter
- RPM can send a runner to your current property management company for pickup just let us know when everything will be ready
- Keys may be dropped off to the RPM Phoenix Valley office located at 20827 N Cave Creek Road, Suite 101, Phoenix, AZ 85024. There is a silver mail drop slot on the exterior of our front door which is available 24/7
- Upon completion of the management agreement, a staff member can meet you at your property for pick up.
4. Timeframes
- Twenty-four business hours from receiving the required information under “management document information” the management agreement will be sent electronically to the homeowner.
- Twenty-four to forty-eight hours from RPM receiving the executed management agreement back, it will be submitted to our set up team and a text and email will be sent to the title holders so they can establish their online portal with our management software.
- Within forty-eight business hours of setup, a team member will visit your vacant home to complete our detailed initial inspection.
- Within forty-eight business hours of our initial inspection, a full and complete list of “As Is”, “To Be Done Prior To Listing” and “To Be Done Prior To New Tenant Move in” will be provided in your online management portal. **We do have a complete in-house maintenance team that can complete any repair items that need to be completed**
- If property is rent ready at our initial inspection, our leasing team will reach out within twenty-four hours of the initial inspection to discuss listing price.
- Within twenty-four to forty-eight business hours of the pricing discussion, your home will be listed for rent if vacant at time of setup.
- If property is tenant occupied at sign up then time to contact tenant depends on first month of rent RPM will collect versus management start date. A member of our team will discuss the specific time frame.
